Starting Wage: $40,000 to $45,000 per annum (commensurate with experience)

What You’ll Do:
As the first point of contact at MSGC, you’ll play a crucial role in keeping our office running smoothly and creating a welcoming space for visitors and staff. Key responsibilities include:
- Supporting the overall day-to-day administrative function of the organization, working closely with the Executive Assistant and Executive Director
- Assisting the Executives and Directors with general administrative tasks
- Handling and assisting with document distribution and other administrative projects and responsibilities
- File management and document tracking
- Preparing boardrooms for meetings, ensuring microphone and seating arrangements are set up
- Coordinating meal service for meetings at the request of the Executive or Office Administrator
- Communicating with external meeting organizers
- Answering phones and greeting visitors with warmth and professionalism
- Managing incoming and outgoing mail, including email processing
- Maintaining and updating MSGC staff and Settlement contact lists
- Overseeing office calendars to coordinate meetings and events
- Ensuring office equipment (printers, copiers, coffee machines) is maintained and functional
- Preparing and submitting purchase orders, assisting purchasing, office inventory support, and assisting with expense reports
- Performing basic data entry as required
What You Bring:
- Experience in administrative, receptionist, or personal assistant roles
- Strong knowledge of Microsoft Office 365 and Microsoft Teams
- Familiarity with office equipment like photocopiers and filing systems
- A Grade 12 diploma or GED (Post-secondary education in Administrative Services is an asset)
- A friendly, professional, “can do” attitude – you’re the first impression of MSGC!
- Ability to work independently and as part of a team
- Ability to complete a high volume of work within deadlines
- Excellent organizational and time management skills
- Excellent interpersonal, oral, and written communication skills
- Good problem-solving skills
- Ability to work with little supervision and the ability to take initiative in a dynamic work environment
- Strong attention to detail
- A high-level of discretion
